Meeting Minutes:

Minutes of the meeting held February 11th 2008

Minutes of the Meeting:  11th February 2008

Meeting Started:  7.25pm

Members Present:  16

Apologies Received:  Jim Bristow, Pete, Diane & Malcolm

Treasurers Report:  Bill reported a balance of £X

Local Membership Secretary Report: Lesley reported + 6 local memberships

National/International Membership Secretary Report:  Neil reported + 5 memberships

Total Memberships = 176.

Matters Arising:

Merchandise Report:  There have been 22 ebay sales since last meeting & 1 still awaiting payment. This isn’t particularly high volume money but is still getting the name out there & also is proof that providing we have the goods out there then there are people who want to buy ASFC products. The only problem we have with ebay is that much depends on timings of the listing & sometimes we don’t get a sale but it still costs us something for listing the item though 2nd time round is free. It was discussed the idea of setting up a virtual shop at a cost of £X per month. The disadvantage is slightly higher fees on the sale & the £X outlay but the benefit is that the items can be listed for longer & stay online till sold, recurring cost of about Xp per month. Therefore we can put our entire range on display {possibility of official products too] & get more sales. We have sold 3 memberships through this route over the last 2 weeks despite the listing stating that it is membership for this season & nearly out of date. Request for the £X per month for virtual shop was passed in meeting.

Website Update: Matt updated us with statistics for the OSC site usage over past month, visits to the site have increased by 37.54% & 16.27% up on pages views as have average time on site & new visits also saw an increase than last months stats. Top 3 pages this month is: home; contacts & then links in 3rd place.  Top 5 Countries visits are: UK; USA; New Zealand; Ireland & Bulgaria in 5th place out of 16 total Countries visitation to the site.

Exhibition Update: A reminder that ALL OSC members have a responsibility to try to ensure the success of the exhibition & not just the Steering Group. Could all members please continue to spread the word & try to obtain stories & memorabilia for us. The media launch was considered a success by the steering group despite a disappointing number of people through the door. There were still a good number of people in the bar & the media was in good attendance with –plenty of radio exposure over the following days.  Mel managed to get Gordon Stones to attend the launch as our guest being a former player for the reds before the demise. She had contact from Jayne Wairing whom did the oral histories for Preston Museum, will be attending the meeting on 23rd February, to help us with taking oral histories before the match & at half time.

End Of Season Presentation Night: As requested last month we do need more people to volunteer for jobs on the night. Rob suggested that 5 people do 5 specific jobs so that each gets undivided attention. Volunteers so far are:

1] Supper – Neil volunteered
2] Entertainment – Neil Volunteered
3] Raffle/games?
4] Advertising – Mel volunteered
5] Awards?

Other than these particular jobs people are require to help hand out leaflets the week before so everybody knows about the event. This will be a ticket only & a date to be confirmed for early May.

Any Other Business:

Vacancy: Rob has regretfully decided to stand down at the next AGM meeting due to impending family commitments Rob feels he really cannot stand as Chairman of the OSC if he cant attend future games, but does intend on playing an active role within the OSC & will continue to do certain jobs such as ebay sales & the exhibition. Rob will offer his full support to whoever is elected to the position of Chair at the May AGM. A replacement for position of Chairperson is needed & names of prospective candidates to be put forward at next meeting.

OSC Website: Kipax, who owns the domain the OSC website is on has requested a payment of £X for this years fee. Previously he has paid all the domain fees for the OSC, ASFC & ultras sites but cant do it this year, hence the request of a fee.  Motion was passed & the £X fee payment is granted. Neil Broadhurst wants to put fans pictures on OSC website which also was passed.

Charity walk to Rochdale:  The Ultras have organised a charity walk to the Rochdale match on the 16th March 2008. If anybody wants any further details of this then they can contact John Timmins or leave their details with Rob & he’ll pass them on.

Poker Night: This event is still going ahead on the 24th February 2008 at 7.30pm.

Prediction table Idea: For raising funds, like guess the goals, guess the time of goals per match & use one site for results as official time, guess the gate etc, pound per go or something to that effect. This idea is to be looked at further.

Next Meeting:  Monday 10th March 2008

Meeting Closed:  8.10pm
